Responsible Meeting Trends: Sustainable Initiatives and Impactful Actions
Increasingly, companies, governments, and individuals are becoming aware of the challenges we face as a society if we do not adopt sustainable practices. In this edition, we share some of the practices observed in this space as we continue our efforts to attract travelers in the meetings and conventions sector.
The Ecological Impact of IMEX America 2025
This October event in Las Vegas once again stood out as a leader in responsible practices within the meetings industry. Throughout the event, attendees were encouraged to recycle their badges and lanyards, while badge holders made of 100% recyclable kraft paper—provided by a sustainability-focused supplier—were offered.
Community Impact
The CSR Paint Fest event with The Foundation for Hospital Art stood out at IMEX for a different reason: they brought color and emotional support to hospital patients through donated artwork. This was not the only initiative focused on improving people’s well-being. IMEX also supported several community and charitable efforts, ranging from animal shelters and hotel recycling programs to book donations for children in underserved communities.
Inclusion and Accommodation
Inclusion played a central role, with sessions such as “Accommodating People with Disabilities at Meetings” by Dr. Rosemarie Rossetti, as well as presentations from diverse speakers who shared unique perspectives. Approximately 10% of travelers who arrive in Puerto Rico have accessibility needs.

- Venues and Lodging
Prioritize venues that reflect environmental responsibility and cultural authenticity. When selecting a location, evaluate whether it has efficient energy and water systems, waste-reduction practices, green spaces, and walkable proximity between sites.
- Food and Beverage
Choose options that highlight local ingredients, plant-based menus, vegetarian alternatives, biodegradable utensils, and the presentation of traditional dishes.
- Transportation and Logistics
Opt for group transportation and carbon-offset alternatives. Ensure the distance between lodging and the venue is walkable and use local suppliers to reduce emissions.
- Measurement, Communication, and Legacy
Set sustainability goals for your event or conference. Gather post-event data, share the results, and document the benefits achieved.
- Community and Cultural Engagement
Incorporate volunteer opportunities, cultural and environmental initiatives, and promote attendee engagement with local service providers.
- Suppliers and Materials
Prioritize local suppliers and products: recyclable badges, sustainable gifts, reduced printing, and eco-friendly signage.

Sustainability in Puerto Rico: Connecting Community Action and Professional Development
The Parents as Teachers 2025 international conference brought together more than 1,800 attendees, staff, and partners for four days at the Puerto Rico Convention Center. As part of the program, participants visited Loíza to collaborate with Centro Esperanza, a local organization dedicated to supporting the education and well-being of children, youth, and families in the community.
The day included volunteer activities such as planting trees for Montessori students, organizing spaces for educational programs, and taking part in workshops to learn about the impact of community work. This effort combined professional development with meaningful service, aligned with values of sustainability and social engagement.
